Refund & Cancellation Policy

We want you to be happy with Copilot Buddy. This policy explains when you can cancel an order, return a device, and get a refund. It forms part of our Terms & Conditions.
1. Summary
The Copilot Buddy device is a numbered, made-to-order collector's edition. You can cancel for a full refund any time before it ships. Once a device ships, you can return it if it arrives defective or damaged. Firmware licenses are digital and are non-refundable once the key has been delivered, except where we failed to deliver or where the law requires otherwise.
2. Cancelling an order
Because devices are built to order, you can cancel a hardware order for a full refund at any time before it is marked shipped. Just email us from the address on your order. If your collector's number had been assigned, it is released back into availability.
3. Device returns and refunds
If your device arrives defective, damaged, or not as described:
- Contact us within 7 days of delivery with your order number and a photo or short description of the issue.
- We will arrange a replacement or a full refund, including return shipping for a confirmed defect or our error.
- For a return, the device should be in its original condition with all included items. We may inspect a returned device before issuing a refund.
Because each unit is numbered and limited, we generally offer a replacement of the same unit where possible. If you simply change your mind after delivery, contact us; we will do our best to help, though change-of-mind returns of a personalised, numbered edition may not always be possible once shipped.
4. Firmware licenses
A firmware license is a digital product delivered immediately as a license key. By purchasing, you ask us to deliver it right away and you acknowledge that, once the key has been delivered, the purchase is non-refundable, except:
- where we did not actually deliver a working key; or
- where a refund is required by applicable law.
If you bought a firmware license but have not yet received or activated a key and believe there was an error, contact us and we will investigate. Refunding a firmware purchase revokes the associated license.
5. Desk stand
The desk stand follows the same rules as the device: cancel before shipping for a full refund, or return it within 7 days of delivery if it arrives defective or damaged.
6. How to request
Email support@copilot-buddy.com from the email address on your order, with:
- your order number,
- whether you want a cancellation, replacement, or refund, and
- for a defect, a short description or photo of the issue.
7. Refund method and timeline
Approved refunds are returned to your original payment method through the original processor (Cashfree for India, Dodo for firmware). Once approved, we initiate the refund promptly; depending on your bank or card issuer it typically appears within 5 to 10 business days. We will email you when a refund is initiated.
8. What is not refundable
- delivered firmware license keys (except as described in Section 4);
- damage caused by accident, misuse, liquid, or unauthorised repair;
- returns requested after the windows above, except where the law requires otherwise.
Nothing in this policy limits the consumer rights you have under applicable law.
