Privacy Policy

This policy explains what personal data Loopdesk Technologies LLP collects when you use the Copilot Buddy website, buy a product, or run our firmware, and how we use and protect it.
1. Who is responsible
Loopdesk Technologies LLP ("we", "us", "our"), a Limited Liability Partnership registered in India (LLPIN: ACM-1205), is the data fiduciary and controller for the personal data described here. Our registered office is at No. 203, Dev Plaza, Kadri Temple Road, Kadri, Kankanady, Mangalore, Dakshina Kannada, Karnataka 575002, India. 2. What we collect
We collect only what we need to sell and support the product:
- Account and contact details: your email address (used for login and order updates), and, when you order, your name, phone number, and shipping address.
- Order details: what you bought, your collector's number, order status, carrier and tracking, and the country we detect for your order (used to decide region and currency).
- Device hardware identifiers: when you register a device in the portal, we store its hardware identifiers (such as the factory MAC address, chip model, and firmware version) so we can bind a firmware license to that specific device and verify it at runtime.
- Waitlist details: if you join the international waitlist, your name, email, country, and the quantities and items you are interested in.
- Payment information: handled by our payment partners. We receive a confirmation and limited references (such as a payment or customer ID), but not your full card or bank details.
- Technical data: standard request logs (such as IP address and basic device or browser information) generated by our hosting provider for security and reliability.
3. How we use your data
- to take payment, fulfil and ship your order, and assign your collector's number;
- to issue and verify firmware licenses and bind them to your device;
- to sign you in to the customer portal and show your orders and updates;
- to send transactional email (login codes, order confirmations, shipping notifications, and license keys);
- to provide support and respond to your messages;
- to detect, prevent, and address fraud, abuse, and security issues; and
- to meet legal, tax, and accounting obligations.
We do not sell your personal data, and we do not use it for third-party advertising.
4. Why we are allowed to use it
We process your data to perform our contract with you (your purchase and support), to comply with legal obligations, with your consent (for example the waitlist), and for our legitimate interests in running and securing the business. Where the law requires consent, we ask for it and you can withdraw it at any time.
5. Who we share it with
We share data only with service providers who help us run the business, under contracts that require them to protect it:
- Cashfree Payments and Dodo Payments: payment processing.
- Resend: sending transactional email.
- Cloudflare: website hosting, storage, and security.
- Shipping carriers: to deliver your order and provide tracking.
We may also disclose data if required by law, to enforce our terms, or to protect our rights, users, or the public.
6. Cookies and sessions
We use a single signed session cookie to keep you logged in to the portal after you verify your email. We do not use third-party advertising or cross-site tracking cookies. You can clear cookies in your browser, but you will then need to sign in again.
7. How long we keep it
We keep order, license, and device records for as long as needed to provide support and warranty. Billing and transaction records are retained for the period required by Indian tax and accounting law (typically 7 to 8 years). Login codes are short-lived and expire within an hour. Waitlist entries are kept until you ask us to remove them or until they are no longer relevant.
8. Security
We use industry-standard measures to protect your data, including encryption in transit (HTTPS), signed sessions, restricted access, and reputable infrastructure providers. No system is perfectly secure, but we work to protect your information and to limit what we collect.
9. International transfers
Our providers may process data on servers outside your country. Where that happens, we rely on providers that offer appropriate safeguards for international transfers.
10. Your rights
Subject to applicable law, you may ask us to access, correct, complete, update, or erase your personal data, withdraw consent, or nominate someone to exercise your rights on your behalf. Under India's Digital Personal Data Protection Act, 2023, you also have a right of grievance redressal. To make a request, email privacy@loopdesk.ai from the address on your account. We may need to verify your identity and may keep records we are required to retain by law.
11. Children
Copilot Buddy is intended for adults. We do not knowingly collect personal data from children. If you believe a child has provided us data, contact us and we will delete it.
12. Changes
We may update this policy from time to time. We will post the new effective date at the top of this page, and significant changes may be notified by email.

We aim to acknowledge grievances within 72 hours and resolve them within 30 days. If your grievance is not resolved to your satisfaction, you may escalate to the Data Protection Board of India.
